Overview
Writing reports can be challenging without the benefit of a systematic approach. Much of the report writing process depends on effective planning and preparation before even beginning to write. It also requires a good understanding of the reader’s needs and their objectives. Additionally the message needs to be communicated to the reader simply and concisely, using plain English, to ensure it is easily and swiftly understood. This Report Writing course provides delegates with a step-by-step process to writing reports, enabling them to practice each stage – planning and preparation, drafting and writing, editing and proofreading. Delegates’ report writing skills are developed in a participative way through a series of practical exercises and case studies, group discussion and tutor input.

Content
The course has been designed to meet the following objectives:

Establish clear objectives for a report
Clarifying the Terms of Reference for the report so that it meets the organisational needs.
Plan the stages for the preparation of the report
Using planning tools and a production model to ensure a systematic approach is followed for planning, preparing and writing the report.
Assess the readers’ needs
Considering the readers’ background, knowledge and experience to ensure the writing is tailored for their needs.
Follow and/or adapt a recognised and logical structure
Developing a useful format to provide the reader with a helpful structure.
Distinguish between facts, conclusions and recommendations
Considering the logical and sequential presentation of the evidence and the analysis of the results.
Use an accurate, clear and brief writing style
Following plain English guidelines to produce an unambiguous and easily understood text.
Edit and proofread documents
Considering the style and presentation of the report to ensure accuracy and consistency.
Delivery Methods
The course is delivered through a variety of participative training methods. This provides delegates with skill development whilst maintaining their interest and motivation. Methods include group discussion and tutor input; practical exercises and mini-case studies conducted individually, in pairs and in groups. Reviewing and editing of own work may be undertaken if time permits. The course concludes with delegates completing an Action Plan detailing how they will apply their learning on return to the workplace, and to whom they can turn for further coaching and support. The course can be delivered in one or two days and can be adapted to meet more specifically identified organisational and individual needs. A pro-forma needs analysis can be provided to help with identification of the current performance gap. Content
The programme includes exercises and case studies to cover:
  • Prefer plain words – avoiding padding and cumbersome wording
  • Use of the active voice – delivering an economic, personal and direct style
  • Techniques for writing shorter sentences – writing simply and powerfully
  • Importance of Terms of Reference – ensuring report meets the objectives
  • Assessing the needs of the reader – tailoring writing for reader’s needs
  • Planning and preparation – including use of Planning tools & Production Model
  • Constructing a report – following a useful format, considering the presentation of each element of the structure
  • Editing and proofreading – importance of accurate and consistent text
